Customer Service Representative (Finance)



What We Are Looking For

We're seeking an entry-level, communicative professional eager to learn how to maintain correspondence with global surgeons while developing multi-tasking skills. The ideal candidate will show potential to work under pressure and demonstrate a willingness to understand ISO 13485 and HIPAA regulations, with full training provided. No prior experience with these regulations is required - we value your enthusiasm to learn and grow more than existing industry knowledge. What You Will Do

  • Maintain professional correspondence with global surgeons, staff, and distributors to coordinate virtual meetings, shipping timeframes, and deliverables.
  • Manage daily coordination queues, creating virtual meeting links and ensuring timely operational workflows for outgoing cases.
  • Respond to customer inquiries via email and phone, scheduling and preparing for web sessions when applicable.
  • Update and maintain database entries, coordinate with various departments, and manage calendar scheduling across multiple time zones.
  • Collaborate with internal and external teams to execute same-day shipments and resolve any shipping delays promptly.
  • Answer a high volume of incoming phone calls and directing them to the appropriate departments.
  • Adhere to ISO 13485, HIPAA regulations, and follow quality management system procedures.
What You Will Bring

  • High School Diploma or GED required.
  • Previous work experience with scheduling and calendar management.
  • Comfort working in a fast-paced, high-stress environment.
  • Ability to sit for extended periods of time.
  • Strong time management and organizational skills.
  • Dependability, punctuality, and responsibility.
  • Professional demeanor in phone and in-person interactions.
  • Demonstrates collaborative teamwork skills, readily supporting colleagues to ensure consistent, high-quality service delivery and positive customer outcomes.

Preferred Skills & Experience

  • Standard office computer/software proficiency (Microsoft Word, Excel, Outlook, PowerPoint, database applications).
  • Clerical experience in a medical environment.
  • Adaptability to learn and adjust to new software systems.
