Heavy Equipment- Accounts Payable Clerk (Finance)

Job Summary

We are seeking a detail-oriented and analytical person to join our Purchasing department. This role is responsible for auditing rental invoices and statements to ensure accuracy, compliance with contract terms, and cost control. The ideal candidate will have strong financial acumen, excellent organizational skills, and experience working with procurement or rental agreements. Performs clerical accounting duties requiring analysis and individual judgment.

Key Responsibilities

1. Review and audit rental invoices and monthly statements for accuracy, proper documentation, and compliance with contractual terms.
2. Verify billing amounts against purchase orders, rental agreements, and delivery documentation.
3. Identify and resolve discrepancies in billing with vendors and internal departments.
4. Track and maintain records of rental equipment and lease terms to ensure timely returns and avoid unnecessary charges.
5. Communicate regularly with suppliers and internal stakeholders regarding billing issues and cost-saving opportunities.
6. Support the Purchasing department with additional analytical tasks, reporting, and project-based work.
7. Processing of invoices when required.
8. Maintain accurate and up-to-date files of contracts and invoice audits.
9. Familiarity with contract administration or procurement policies, preferred.
10. Experience with construction or industrial rental equipment vendors, preferred.

Minimum Requirements:

1. Associate or bachelor's degree in business, Accounting, Supply Chain Management, or related field preferred.
2. 2+ years of experience in purchasing, accounting, or invoice auditing-preferably involving rental or lease agreements.
3. Strong attention to detail with excellent problem-solving skills.
4. Proficient in Microsoft Excel and experience with ERP systems (e.g., SAP, Oracle, JD Edwards).
5. Ability to manage multiple priorities and meet deadlines.
6. Excellent communication skills for working with vendors and internal teams.

1. May stoop, kneel, or bend, on an occasional basis
2. Must be able to comply with all safety standards and procedures
3. Required to use hands to grasp, lift, handle, carry or feel objects on a frequent basis
4. Will interact with people and technology frequently during a shift/work day
5. Will lift, push or pull objects up to 50lbs on an occasional basis.
6. Will sit, stand or walk short distances for up to the entire duration of a shift/work day.
7. Will use telephone, computer system, email, and other electronic devices on a frequent basis to communicate with internal and external customers or vendors
