Front Office Coordinator (Administrative)



POSITION OVERVIEW
The Front Office Administrator oversees the support functions required to run an efficient, thriving school front office. They will lead the implementation and maintenance of clear operational systems that allow the instructional team to focus on teaching and learning. The Front Office Administrator must be an individual who is solution-oriented, embraces feedback, and is efficient. This position reports to the school principal and is accountable to the Scholar Services team while supporting the Operations team.

ROLES AND RESPONSIBILITIES
Front Office Management
? Upholds the mission and vision of Legacy Early College through the professional and friendly answering of phones and greets scholars, families, and other visitors with a smile and friendly tone.
? Serve as the face of the school in the front office, answering questions from parents, scholars, and visitors.
? Leads efficient office operations and provides superior service relations for families, staff, and visitors.
? Signs visitors in and out of the school.
? Facilitates communication between scholars, families, and staff throughout the school day.
? Facilitates communication between scholars, families, and staff throughout the school day.
? Ensure the front office area is clean, organized, inviting, and free of clutter or personal decorations.
? Maintains, sorts, and distributes mail to staff and various departments.
? Requests approval for supplies in a timely manner, e.g., stamps, envelopes, toner, copy paper, etc.
? Receives and distributes deliveries and supplies to appropriate staff members.

? Processes payments for scholars and parents (e.g., shirt purchases, etc.) and provides receipts.
? Communicates facilities maintenance and janitorial service needs to appropriate departments.
? Contact Nurse or SRO in the event of an emergency.
? Serves as an interpreter for families when needed.
? Knowledgeable of the school master calendar, events, and activities.
Attendance Management
? Serves as a member of the Attendance team.
? Signs scholars in and out of the school tardies and/or early dismissals.
? Ensures that scholars leave with the appropriate parent/authorized guardian via the correct mode of transportation.
? Makes calls to parents/authorized guardians regarding attendance.
? Works closely with the Registrar to ensure daily attendance is coded accurately in PowerSchool.
? Provides support to the other departments with registration and enrollment.




















Operational Management
ยท Assists with managing campus room reservations.
Must be able to:
? Respond adequately and expeditiously to inquiries or complaints.
? Speak to individuals or groups of people with poise, voice control, and professionalism.
? Maintain composure and effectiveness in high-pressure situations and adapt swiftly to emergencies or unexpected challenges.
? Perform other duties and responsibilities as assigned by the supervisor

Skills & Qualifications
? Fluency in Spanish is strongly preferred.
? Proficiency in Microsoft Office and Google Drive suites.
? Bachelor's degree preferred.
? Minimum 3-4 years of work experience preferred.
? Experience working in a school or non-profit preferred.
? Ability to self-direct, prioritize, and multi-task among competing goals.
? Comfort with working in a fast-paced, entrepreneurial environment.
? Demonstrated ability to work well with others and build relationships across teams.
? Excellent written and verbal communication skills with keen attention to detail.

Work Schedule
This position will operate on the Legacy Early College academic calendar, on the 240-day schedule. The hours are 7:30 am to 4:30 pm, Mondays - Fridays (includes 1-hour lunch break). Strong attendance and punctuality for this position are crucial to the effective management of the school front office.
Physical Demands
? Manual and physical dexterity, including the ability to handle and maneuver machines
? Ability to lift a minimum of 25 lbs. and receive assistance for any items greater than 25 lbs.
? Ability to stand for long periods of time on hard surfaces (concrete or tile) for at least 80-100% of the scheduled workday
? Ability to bend, stoop, squat, reach, push, pull, and walk frequently and with ease
? May require walking on uneven or wet surfaces
? Must be able to use cleaning chemicals and cleaning agents necessary to perform the essential functions of the job
