Sr Program Coordinator (Project Management)



The College of Professional and Continuing Studies is seeking a Senior Program Coordinator who will have full oversight for 1-2 program areas determined collaboratively based on candidate experience and interest.  Additionally, a portion of the role will involve working with all Industry Partners program leaders (4) to coordinate business development efforts. 

This role is part of a collaborative team responsible for the growth of existing programs, as well as possible development of new professional development programs.  The ideal candidate is a highly organized and collaborative individual with a proven track record in program management and professional customer-facing experience (sales, customer service, business development).

Essential duties will include:

PROGRAM COORDINATION

  • Responsible for daily program operations & supervision – for the program(s) you oversee, carry out daily action items in a timely manner to ensure event/course success; leading key stakeholders (participants, instructors, board, internal team) so they can successfully carry out their respective roles.
  • Plans and coordinates program events and the administrative activities of a designated program or programs – Manage logistical aspects of in-person programs/conferences, including participant support and advising, instructor travel and course content planning, and working with industry advisory boards to identify emerging program needs.  May include infrequent overnight travel.
  • Develops and administers budgets for assigned projects and programs – manages program budgets, ensuring cost-effectiveness and efficient resource allocation.
  • Develop policies and procedures – executes business and marketing strategies to promote and manage programs. 
  • Ensures compliance with program regulations 

BUSINESS DEVELOPMENT / MARKETING COORDINATION

  • Program evaluation and develop long-range growth plans – work with all program leaders to evaluate how to effectively find, reach, and promote to prospective participants.  Develop goals and specific plans achieving desired growth initiatives.  Evaluate marketing strategy where it impacts business development such as website content, collaterals, social media, and other initiatives.
  • Plans and oversees project management – Create and oversee an approach to carry out the specific plans developed above for own program.  Also, assist other programs as they implement the approach for their programs, so there is a unified approach/template for Industry Partners business development.
  • Collects and analyzes data and prepares reports – Monitor effectiveness through data analysis. Prepare reports on business development initiatives and identify areas for improvement.  Also, may be asked to gather data to evaluate new program opportunities beyond current Industry Partners programs.
  • Negotiates and administers grants and contracts – help identify potential grant opportunities.

DUTIES AS ASSIGNED

  • Performs related duties as assigned to successfully fulfill functions of the position – may occasionally assist with other program events/courses.  This includes assisting with events for other programs as they approach.  May include very infrequent overnight travel (1-2 times per year).

Required Education:  Bachelor's degree, AND: 

  • 48 months of related experience.

Equivalent Substitution: Will accept 48 months of experience in lieu of a Bachelor's degree to equal 96 months of related experience.

Skills:

  • Highly organized and able to handle multiple projects and deadlines.
  • Able to effectively evaluate projects & programs and produce comprehensive reports.
  • Able to supervise staff and communicate directions and expectations effectively.
  • Must be able to read and interpret policy as well as State and Federal regulations.
  • Excellent communication and interpersonal skills, including customer service skills.
  • Proficient in Microsoft Office Suite, with an emphasis in Excel
  • Familiarity with social media platforms and online applications such as design apps.
  • Ability to perform basic math functions.

Advertised Physical Requirements:

  • Sits for prolonged periods.

  • Moderate bending, lifting, carrying on an infrequent basis.
  • Standard office environment.
  • Moderate exposure to deadlines and busy periods.  
  • Must be willing to travel twice per year for ~5 days each. 

Departmental Preferences:

  • Prior experience with adult, professional learners or higher education.

Supervision:

  • This role may help supervise a student role when filled, and we regularly hire a temporary worker that this individual would at times guide.  Beyond that, this role would supervise our contracted instructors regarding content submissions and logistics.
