Technical Writer/Documentation Coordinator
Focus: Technical Writing, Document Control, UX Design, Project Management
Position Summary:
The Training & Documentation Coordinator supports the Learning & Development team by creating, maintaining, and managing critical documentation related to policies, procedures, and training materials. This role is responsible for document control, revisions, formatting, and ensuring end-user documentation is clear, engaging, and user-friendly. They will collaborate with cross-functional teams and subject matter experts to gather complex information and present it in accessible, user-centric formats. This role requires a strong understanding of technical writing principles, document lifecycle management, and a foundational grasp of user experience design.
Core Responsibilities:

Create, maintain, and update high-quality technical documentation, including standard operating procedures (SOPs), emergency action plans, training manuals, incident response guides, internal policies, risk assessments, and online help content.

Manage and maintain project documentation for the Learning & Development team, including charters, status reports, risk logs, change requests, and lessons learned, ensuring accuracy and accessibility.

Translate complex technical, security, and process-oriented information into clear, concise, and engaging content for diverse audiences and various stakeholders.

Edit and proofread reports, presentations, and other written materials for accuracy, grammar, punctuation, style, and professional standards, ensuring brand voice consistency.

Implement and manage robust document control processes, including version control, archiving, distribution, and access permissions, ensuring compliance with organizational standards.

Apply user experience (UX) principles and best practices to the design and development of training content, job aids, guides, and other documentation to enhance usability and comprehension.

Proactively collaborate with cross-functional teams and subject matter experts (SMEs) to identify documentation needs, gather accurate information, and validate content for technical accuracy.

Support the visual design and layout of documents and training materials, utilizing graphic design tools to create compelling and easy-to-understand visuals.

Assist with digital content publishing, including uploading, organizing, and maintaining content on various platforms such as intranets, learning management systems (LMS), and content management systems (CMS).

Conduct user testing and gather feedback to continuously improve the clarity, accuracy, and effectiveness of documentation and training materials.

Qualifications:

Bachelor's degree in Technical Communication, English, Journalism, Instructional Design, or a related field, or equivalent practical experience.

Proven experience (3 years) as a Technical Writer, Documentation Specialist, Training Coordinator, or similar role, with a strong portfolio of relevant documentation.

Expert proficiency in Google Workspace (Docs, Sheets, Slides) and Microsoft Office Suite (Word, Excel, PowerPoint).

Familiarity with document management systems (DMS) or content management systems (CMS) (e.g., SharePoint, Confluence, Zendesk Guide).

Basic understanding of UX design principles and tools (e.g., Figma, Sketch) for creating wireframes or mockups of content layouts.

Exceptional written and verbal communication skills, with a keen eye for detail and accuracy.

Demonstrated ability to manage multiple projects simultaneously, prioritize tasks, and meet deadlines in a fast-paced, dynamic environment.

Strong interpersonal skills, with the ability to effectively collaborate with diverse teams and subject matter experts.

Experience with instructional design principles and adult learning methodologies is a plus.
Familiarity with industry-standard style guides (e.g., Chicago Manual of Style, AP Stylebook) is desirable.
