Real Estate Closing Administrator (Real Estate)



SUMMARY
Provide support to the lending loan departments by working directly with the processing team and clients to handle all matters with regard to real estate closings.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Coordinate and manage the closing process between buyers, sellers, lenders, agents and attorneys as the liaison for facilitating a smooth and timely closing.

Review contracts, order title search and no lien certifications (3 year current/delinquent tax certifications, municipal no lien letter and water/sewage/garbage lien letters). Advise the seller and real estate agent involved of the municipal requirements for dye testing and/or zoning/occupancy permit requirements.

Review and clear all title insurance exceptions noted in the title commitment prior to or at closing.

Resolve all issues or discrepancies that may arise during the closing process within a timely manner.

Schedule and confirm closing appointments with all parties involved.

Verify wiring instructions prior to releasing any funds.

Provide the ALTA Settlement Statement to all parties for review within 3 business days of closing.

Prepare the required title affidavits, no lien agreements, closing disclosure and the ALTA Settlement Statement in accordance to the signed contract and loan approval requirements.

Prepare and review the deed for correctness including vesting.

Ensure all documents are accurate, complete and compliant with local, state and federal regulations and laws.

Manage all post-closing matters; verify receipt of loan funding, disbursement of funds, balance of funds and recording of the documents within 10 days of closing.

Ensure all exceptions noted in the title commitment have been met prior to issuance of the final title insurance policy to lender and/or borrower.

Maintain accurate and organized records of all transactions in closing software.

Understand and support all BSA/AML responsibilities as applicable to the position as well as consistently, accurately, and timely carry out these responsibilities in compliance with the Bank's internal policies.

This job has no supervisory responsibilities.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
High School Diploma or general education degree (GED). Experience working for a title company 2+ years preferred.

TECHNICAL SKILLS
Must be proficient in Microsoft Word and Excel. The ability to work with various browser-based systems and software systems is mandatory. Must be willing to learn new systems and adapt to emerging technology. Proficient with MS Office, SoftPro and Titlewave.
LANGUAGE SKILLS
Ability to read, analyze and interpret various documents such as procedure manuals, Ability to write routine correspondence. Ability to speak effectively before groups of customers or employees of organization. Possesses good organization skills, the ability to read and interpret reports, and works quickly and efficiently while providing the utmost accuracy and attention to detail

MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as rates, discounts, interest, and percentages.

REASONING ABILITY
Capable of working under pressure from internal and external customers to meet deadlines, and maintaining a high degree of diplomacy and tact. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Desire to understand and utilize systems to their utmost capabilities. Ability to work within a team environment. The Administrator must be able to handle stressful situations in a professional manner.
