Sales and Marketing Coordinator - Doubletree by Hilton San Jose (Finance)

Hourly Rate Range: The hourly rate range for this role is $23.00-$25.00 per hour and is based on applicable and specialized experience and location.

The ideal candidate for this role will possess:

  • Ability to effectively communicate in English
  • Experience with Microsoft Word, Excel, PowerPoint and Outlook
  • Ability to work independently and in a group environment with strong interpersonal and team work skills
  • At least one (1) year of administrative experience is required
  • Sales, Front Desk, or Marketing experience is an asset
  • Hotel experience is an asset
  • Experience with OnQ PMS and/or Delphi is a plus

What will I be doing?

As a Sales & Group Rooms Coordinator, you will be responsible for, but not limited to, the following responsibilities:

  • Responsible for initiating reservations for group attendees and for Airline crew, preparing rooming lists, revising existing reservations, building group blocks in the PMS and R&I. Communicating to external customers any communication deemed necessary by the event service managers.
  • Data entry using Delphi FDC, Microsoft Word, Excel, R&I, Passkey, OnQ PMS
  • Responsible for processing commissions, rebates, comp rooms earned, complete pick up and ensure billing is complete, including securing credit card from customers and entering into PMS.
  • Initiating and copying and distributing of internal/external letters, forms, bookings, contracts, resumes, reports, room lists, schedules, key packets and mail as needed.
  • Answer telephone and assist internal and external guests withrequests.
  • In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company.
  • Attends departmental meetings and other scheduled meetings to support business operations, such as group pick up meeting, weekly operations meeting, stand up meetings, and sales meetings.
  • Keep work area clean and organized.
  • Assist with special projects assigned by management.
  • Performs other duties and responsibilities as assigned or required by management.
  • Maintain a good working relationship with other departments, employees, and guests.

Education
  • High School Diploma or equivalent required.
  • 4-year college degree preferred.

What will I be doing?

As a Sales & Marketing Coordinator, you will be responsible for, but not limited to, the following responsibilities:

  • Provide administrative support to the directors and managers of sales and marketing, including word processing, data entry, filing, correspondence, answering telephones, and managing mail.
  • Perform general office duties such as faxing, copying, note-taking, making travel arrangements, and assisting on special projects as needed
  • Maintain accurate records and documentation to support sales activities.
  • Coordinate site inspections, including research on customers, preparing alert forms, and ensuring meeting spaces and VIP rooms meet expectations.
  • Assist with hotel marketing efforts including creating campaigns, social media content creation and digital media.
