Executive Assistant - Office of the CEO

This Executive Assistant role will be an exciting, challenging, and highly visible role working directly with members of the Office of the CEO, including the Executive Assistant (EA), the Chief of Staff and the Senior Advisor to the Chairman and CEO of State Street. The successful candidate will need to fill in and take initiative, exercise independent thinking, juggle multiple projects, set priorities, and meet aggressive deadlines in a fast-paced environment. The Executive Assistant must have strong interpersonal and organizational skills and be interested in working in a professional and team-oriented environment. The selected candidate will be required to work from the One Congress Building at least 4 days per week and must be willing to be available and accessible outside of core office hours. The selected candidate will report to the Executive Committee EA Manager & Executive Assistant to the Chairman and CEO of State Street.

Core Responsibilities

  • Independently and efficiently administer executives' calendars by coordinating complex meetings involving senior level internal and external participants including clients, vendors, regulators and government officials, and professional and community partners
  • Organize and execute travel arrangements often involving complex logistics and coordination with internal and external counterparts. Maintain and process all related travel and expense documentation
  • Assist with meeting logistics, such as scheduling, preparing materials, and taking meeting minutes
  • Plan dinners and events, including organizing catering and reserving internal or external venues as needed
  • Provide back-up EA coverage for the Chairman and CEO of State Street
  • Screen and prioritize incoming communications and determine appropriate routing and timely follow-up
  • Maintain Office of the CEO records (paper and electronic), including diligent management of an extensive contact database
  • Assist with special projects as needed, which may involve research, data analysis, and communication development
  • Build relationships and liaise with all staff as needed to ensure a smooth working relationship with the Office of the CEO
  • Work collaboratively with other Executive Assistants across business areas and geographies
  • Perform other duties as needed

Qualifications
  • 10+ years of executive assistant experience supporting senior executives
  • Exceptional organizational skills and impeccable attention to detail
  • Strong verbal and written communication skills
  • High degree of professionalism in dealing with key stakeholders, including clients, board members, senior executives, staff and community leaders
  • Ability to handle highly confidential and sensitive information and to exercise discretion and judgment with respect to matters of significance including, company strategy, communications with the Board, client issues, and employee related matters
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
  • Remain calm and professional under pressure and adaptable in a fast-moving environment with a high degree of change; ability to switch gears at a moment's notice

Salary Range:
$80,000 - $125,000 Annual

The range quoted above applies to the role in the primary location specified. If the candidate would ultimately work outside of the primary location above, the applicable range could differ.
